How to Import Notes

Notes can be attached to users, contacts, events, or appointments. Please keep in mind that they can only be created through import, they cannot be changed or deleted.

Unless you need the notes to be tied directly to appointment, we recommend you load the note to the student account as this only requires one import of the notes (not the appointments).

For Users and Contacts

Format a CSV according to:

Header Required Notes
content Yes

The content of the note

identifiable_type Yes

One of [User, Contact]

(CASE SENSITIVE)

identifier Yes If the identifiable_type is a user or contact, this is email 
user_type Yes (if identifiable_type is a User)

One of [Students, Career Services, Mentors]

(CASE SENSITIVE)

privacy_preference Yes

One of [personal, institution]

Defaults to institution

(CASE SENSITIVE)

reminder_date No If there should be a reminder associated with the note.Please reference Date Formatting
written_at No

 The date the note was written at. Please reference Date Formatting

 

This is generally not an imported field. Defaults to the uploaded at date.

created_by_email No

E-mail address of the author of the note. This *must* correspond to a user in Handshake.

 

This is generally not an imported field. Defaults to the Handshake school admin.

For Appointments and Events

identifier Yes

Important:

This is the import_identifier, IF the appointment or event was created by import into Handshake (must match the manually generated import_identifier)

If the appointment or event is created within Handshake, the header should be included but the field should be left blank

identifiable_id Yes (if, see notes) If the appointment or event is created within Handshake, this is required. The ID is the field found within the URL of that appointment or event
privacy_preference No

One of [personal, institution]

Next, upload your CSV to the Handshake Importer App

When your file has finished analyzing, review any errors and correct them in the file, then re-upload. Once you've uploaded with no errors, click "Submit and Request Run".

A member of our support team will follow-up once this has started to process. If for any reason the file cannot run, we will notify you that the file needs further attention.
