Dealing with students who are already in Handshake but not connected to your school

How do I know if the students in my import file already have an account within Handshake?

You will be able to tell if these students already have accounts in Handshake when you import the student through the importer and they are listed as a “failed row” which means the record did not import.

After you run the import file and download the failed rows, you will see an error response on each row of the file that failed. If the error message reads like one of these two, the student most likely has an account in Handshake connected to another school

This can happen if a student created their own account, however did not connect with your university.   Their username is usually different than the username that is trying to be update in the importer.  You can manually add these students by email to your school on the manage student page or you can run a sensitive fields update in the importer.

This means the email address you are trying to import is already connected to another student account within Handshake. You should use the steps outlined below to resolve this issue.

 

What do I do if I am unable to add my student to my school due to their email address being connected to another school? 

  • If their email address is the email domain for your school:
    • Reach out to the student to confirm that they want to switch to your school and then contact Handshake support with the email address, name, and institution this student wants to be switched to.
  • If their email address is the email domain for a different school:
    • You should create a new student account for them with their current email address for your school. The student will then have two email addresses and logins into Handshake, one for each institution they are connected to.
  • If their email address is a generic (gmail, yahoo, etc.) address:
    • Reach out to the student to confirm that they want to switch to your school and then contact Handshake support with the email address, name, and institution this student wants to be switched to. If needed, once they are connected to your school you can update their email address to be the email address for your school.

 

What do I do if my student created their own account with their school email address but is not connected to my school, or any school in Handshake? 

  • You can add this student to your school directly by email address on the manage students page.
