How to Generate Reports on Experiences

There are a few different options for reporting on Experiences data. For the most part, there are comprehensive CSV download options so you don't have to worry about building custom Insights reports. It's all there for you with just a few clicks! This article will walk through the different reporting options you have for exploring Experiences data.

 

General One-Click Download Button:

Looking for a general snapshot of your experiences? The one-click download (on this page, and any other page with this same button) is usually your best bet.

You can easily pull this report with the following steps:

1. Navigate to the Experiences tab:

2. Filter on any items (status, template, staff member, etc) you need:

3. Select the Download button in the top right corner

The report will generate a CSV that also sends to your individual email.

4. Select the link "Your download is ready. Click her to retrieve the file"

The report will download, and includes the following information:

  • Experience ID
  • Student Information:
    • Email, Major, College, School Year, Graduation Date, Campus Work Authorization, Education Level, Labels
  • Employer Information:
    • Name, Industry
  • Supervisor Information (this will only populate data for experiences submitted prior to August 2017, see Approvers Download instructions for more info):
    • Name, Title, Email, Phone
  • Job Information
    •  Title, Term, Status, Start Date, End Date, Location, Labels, Job Type, Salary, Offer Date, Offer Accepted?, Acceptance Date,
  • Experience Information:
    • Created At Date, Student Evaluation Count, Approver Evaluation Count, Template, Approver Count
  • Request Information:
    • Request Survey ID, Request Custom Question(s), Request Custom Answer(s)

 

Bulk Action: Approvers Quick Download

Another set of data to pull with a quick download option is the Approvers CSV. This will include specific information on the approvers (i.e. stakeholders) you've configured on the experience. You can easily pull this report with the following steps:

1. Navigate to the Experiences tab

2. Filter on any items (status, template, staff member, etc) you need.

3. Select the checkbox at the top of the table to select all items. (Or select individual experiences to report on)

4. Choose the "More" option and select the option to "Download CSV with Approvers"

The report will generate a CSV that also sends to your individual email.

5. Select the link "Your download is ready. Click her to retrieve the file"

The report will download, and includes a single row for every Approver associated with each Experience. Keep in mind: This means the Approver CSV could contain a greater number of rows than the total number of Experiences you are analyzing.

It will include the following information:

  • Experience ID
  • Student Information:
    • Email, Major, College, School Year, Graduation Date, Campus Work Authorization, Education Level, Labels
  • Employer Information:
    • Name, Industry
  • Supervisor Information (this will only populate data for experiences submitted prior to August 2017):
    • Name, Title, Email, Phone
  • Job Information
    •  Title, Term, Status, Start Date, End Date, Location, Labels, Job Type, Salary, Offer Date, Offer Accepted?, Acceptance Date,
  • Experience Information:
    • Created At Date, Student Evaluation Count, Approver Evaluation Count, Template,
  • Approver Information: (*the key piece in this download)
    • Count, Title, First Name, Last Name, Email Address, Approval Status, Response Survey ID, Approver Custom Question(s), Approver Custom Answers(s)
  • Request Information:
    • Request Survey ID, Request Custom Question(s), Request Custom Answer(s)

 

 

Bulk Action: Evaluations Quick Download:

Another set of data to pull with a quick download option is the Evaluations CSV. This will include specific information on the evaluations completed by students, approvers, or Career Services (on behalf of students or Approvers). You can easily pull this report with the following steps:

1. Navigate to the Experiences tab

2. Filter on any items (status, template, staff member, etc) you need.

3. Select the checkbox at the top of the table to select all items. (Or select individual experiences to report on)

Insights Explore (Difficulty Level: Expert)

The quick download options highlighted above *should* cover all of your Experience reporting needs. However, if you want to go the extra mile to pull an Insights report, you can do that, too!

Follow these steps:

1. Navigate to the Analytics tab:

2. Choose the "Explore Insights" option in the top left:

3. Select the Experiences Explore:

4. You should be able to take it from here to build the reports you need if you're familiar with Insights Analytics!
