Manage mid-term and final Experience evaluations for students and reviewers, including sending requests, sending reminders, and troubleshooting missing emails.
How are evaluations sent automatically?
Automatic evaluations are configured in the Experience template, with send dates based on the applicable term dates.
For automatic evaluation emails to be sent, evaluations must be enabled and a survey must be attached for the intended recipient group:
- Students: If the student survey field is blank, Handshake does not automatically send students an evaluation email.
- Reviewers: If the reviewer survey field is blank, Handshake does not automatically send reviewers an evaluation email.
Note: An Experience must remain in Approved status for its automatic final evaluation to be sent. Marking it Completed before the scheduled send prevents that automatic final evaluation email.
Changes made to a template after an Experience has been requested do not apply to that existing Experience.
For configuration instructions, refer to Creating an Experiences Template.
How do I add and send missing evaluations?
1. On the Experiences page, select the Experiences you want to update using the checkboxes.
2. Open the Mid-Term Evaluation or Final Evaluation dropdown, depending on the evaluations you want to add.
3. Select Add Missing Evaluations.
4. In Add Missing Mid-Term Evaluations or Add Missing Final Evaluations, select the applicable surveys:
- Mid-term: Use Student Mid-Term Survey and/or Reviewer Mid-Term Survey.
- Final: Use Student Final Survey and/or Reviewer Final Survey.
- After selecting a student survey, edit Message For Students (Optional) as needed.
- After selecting a reviewer survey, edit Message For Reviewers (Optional) as needed.
- For mid-term evaluations, if a notice appears about previously requested surveys that have not received responses, select Yes, use the updated survey if you want to use the updated survey for those evaluations.
5. To send requests immediately, select Send requests for evaluation now.
6. Click Update.
Note: The dialog states that surveys are added only to selected Experiences that do not already have evaluations. If a survey replacement notice appears, review it before deciding whether to use the updated survey.
If you do not send requests immediately, select the relevant Experiences on the Experiences page, then open the Mid-Term Evaluation or Final Evaluation dropdown and select Send Reminder.
How do I send evaluation reminders manually?
1. On the Experiences page, under Missing Evaluations in the left filter panel, use the applicable filters to locate Experiences:
- Mid-term: Student Mid-Term or Reviewer Mid-Term.
- Final: Student Final or Reviewer Final.
2. Select the Experiences you want to send reminders for using the checkboxes.
3. Open the Mid-Term Evaluation or Final Evaluation dropdown, depending on the reminders you want to send.
4. Select Send Reminder.
5. In Send Reminder Emails, review the number of approvers and students who will be notified.
6. Click Confirm.
Note: If the same person is involved in multiple Experiences, they receive one email for each Experience.
When are automatic evaluation reminders sent?
The documented automatic reminder schedule is:
- Mid-term evaluations: Three days and 24 hours before the mid-term date.
- Final evaluations: Three days and 24 hours before the term end date.
How do I change evaluation send dates?
Update the applicable term dates to change evaluation timing. Changes to a term date apply to all Experiences using that term.
For instructions, refer to School Settings: Terms.
Troubleshooting reviewer evaluations
What should I check if a reviewer has not received an evaluation email?
Confirm the evaluation configuration:
- Confirm whether a reviewer survey was attached when the Experience was requested. If the reviewer survey field was blank, Handshake does not automatically send the reviewer an evaluation email.
- Confirm that the reviewer was configured to receive evaluation requests before the Experience was requested.
- For a missing automatic final evaluation, confirm that the Experience was still Approved on its scheduled send date.
Note: Updating the template does not update existing Experiences.
For survey configuration guidance, refer to Creating an Experiences Template.
If an evaluation email was sent but the reviewer cannot locate it, ask the reviewer to:
1. Check spam, promotions, and other filtered folders.
2. Add handshake@m.joinhandshake.com to their email contacts or address book.
3. Contact their IT department to check for quarantined messages or unblock Handshake emails.
Some companies filter third-party emails, which can prevent Handshake messages from reaching the inbox.
How do I resend an evaluation email to a reviewer?
After checking filtered folders and addressing any email restrictions:
1. Open the individual Experience and select the Evaluations tab.
2. Locate the reviewer who has not received the email.
3. Click Resend Email.
How do I send an evaluation link directly to a reviewer?
If the reviewer still has trouble accessing the evaluation:
1. Open the individual Experience and select the Evaluations tab.
2. Locate the reviewer.
3. Copy the reviewer’s unique evaluation link.
4. Send the link to the reviewer outside Handshake.
The reviewer does not need to sign in to complete the evaluation through this link.
How do I enter evaluation responses for a reviewer?
If the reviewer cannot submit their evaluation, they can share their responses with your Career Services office. A Career Services administrator can enter the responses on their behalf.
1. Open the individual Experience and select the Evaluation tab.
2. Locate the reviewer.
3. Click Add Responses.
4. Enter the reviewer’s evaluation information, including responses to any attached custom survey questions.
