Career Services users can edit an Experience template to update its details, evaluations, reviewers, qualifications, student form, and messaging.
Changes apply only to new Experience requests. Experiences requested before the update will not reflect the changes.
Before you begin
To manage Experience templates, you need the following permission:
- Manage Experiences
If you do not have this permission, contact your institution’s Handshake administrator.
How do I edit an Experience template?
1. Click Experiences from the navigation menu on the left.
2. Click Edit Templates in the upper-right corner of the page.
3. From the Published tab, locate the template you want to update, then click the pencil icon to the far right of the template.
4. Select a section from the menu on the left and make your changes:
- Details: Update the template name, applicable terms, or reviewer response time.
- Approvals: Update the email prompt sent to approvers.
- Evaluations: Enable, disable, or configure midterm and final evaluations.
- Reviewers: Add, remove, or update reviewers and their permissions.
- Qualifications: Update which students qualify to access the template based on school year, major, college, labels, career clusters, or GPA.
- Student form: Choose which fields are included or required and update the custom survey attached to the template.
- Messaging: Update the messages sent to approved or declined students and manage attachments.
5. Click Save and continue to move through each template section.
6. When you are finished, click Publish in the upper-right corner of the page.
After you publish your changes, you will be directed to the template page.
How do I disable evaluations for an Experience template?
You can prevent new Experience requests from generating midterm or final evaluations.
1. Open the template for editing.
2. Select Evaluations from the menu on the left.
3. Uncheck one or both of the following checkboxes:
- Enable mid-term evaluations
- Enable final evaluations
4. Click Publish.
The change applies only to new Experience requests. It does not remove evaluations from existing Experiences.
If evaluations remain enabled, the attached surveys determine which recipient groups receive automatic evaluation emails:
- If the student survey field is blank, Handshake does not automatically send students an evaluation email.
- If the reviewer survey field is blank, Handshake does not automatically send reviewers an evaluation email.
- If both survey fields are blank for an enabled evaluation type, an error prevents you from saving the configuration.

How do I update a custom survey attached to a template?
Custom surveys collect institution-specific information, such as academic course codes. Course codes, such as COM 4254, are managed as survey answer options rather than Experience template fields.
If the attached survey does not have any responses yet, you can edit it directly. For more information, refer to How to Edit a Survey.
If the survey already has responses, you cannot edit it directly. Instead:
1. Duplicate the existing survey. For instructions, refer to How to Duplicate a Survey.
- If needed, update the questions or answer options in the duplicated survey.
2. Select Student form from the menu on the left.
3. Under Additional survey, replace the existing survey with the updated survey.
4. Click Publish.
The updated survey applies to new Experience requests. Existing Experiences retain the survey responses submitted with the original request.
Can I delete or archive an Experience template?
Experience templates cannot be deleted or archived. If a template should no longer be used for new Experience requests, you can return it to draft status instead.
Open the template for editing, then click Save as draft and exit in the upper-right corner of the page.
The template moves to the Draft tab and is no longer available for new Experience requests. Existing Experiences created from the template are not affected.
