A template is the foundation of an interview schedule. Creating a template allows you to predefine the framework of the interview day and saves time from manually creating schedules later.
Within each template, you will define the:
- Time of day for the interviews
- Example: morning, midday, or evening
- Length of each interview slot
- Example: 15, 30, or 45 minutes
When an employer requests an interview schedule at your institution, they will choose a template for their day.
- Best Practice: if you work with an employer that requests a unique schedule on a regular basis (annually, biannually, etc.), we recommend creating a template named after the employer – mark it as "hidden", then you can assign it as needed and save time building later!
After approving an on campus interview request, you'll be able to apply the template to build out the slots. Because all templates are reusable, you do not need to create a new template for each interview schedule.
Create an Interview Schedule Template
1. Click your name in the upper-right corner of the screen, then click Institution Settings.
2. Click Interview Schedule Templates from the left menu.
3. Click the blue Add Interview Schedule Template button in the upper-right corner of the page.
4. Enter the following information:
- Name
- This is how the template will be identified in Handshake.
- Career Centre
- Choose a Career Centre for the template to exist.
- Hidden from Employers?
- Enable this option if you do not want the template available to employers.
- Description
- Add a description to the template.
5. Click the green Create Interview schedule template button in the lower-right corner of the page.
6. Enter the desired length (in minutes) of each interview slot in the Length in Minutes box, located to the left of the blue Add Slot button.
7. Click Add Slot.
Note: the interview schedule will start at 8am. If you do not want to start at this time, click on the time to edit the slot. Within the popup, edit the below as needed, then click Save:
- Start time
- Click the calendar icon to select a new start time.
- End time
- Click the calendar icon to select a corresponding end time.
- Room
- Select a room, if needed.
- Unavailable?
- Check the box if the slot should be unavailable to students.
- Tip: we recommend this for a lunch break.
- Check the box if the slot should be unavailable to students.
8. Continue clicking the Add Slot button to build out the interview schedule. To remove a slot, click the red Remove button to the far-right in the row.
- Tip: if you have several slots to add, note that the page expands as slots are added, so the "Add Slot" button shifts downward each time. If you are clicking quickly, you could click Remove by accident!
Removing an Interview Template
If an Interview schedule template is no longer needed at your institution, you may:
- Delete the template if it isn't connected to an Interview Schedule
- Hide the template if it is connected to an Interview Schedule
To delete, or hide the template, follow these steps:
1. Click your name in the upper-right corner of the screen, then click Institution Settings from the dropdown.
2. Click Interview Schedule Templates from the menu on the left side of the page.
3. All templates are listed on the page by career centre. Locate the template you'd like to delete/hide, then click the button Edit Template.
4. Click the red button Delete to delete, or check the box to hide the template if it should be hidden from employers.
Note: if you try to delete a template that's attached to an Interview schedule, you'll receive an error that states "Cannot delete record because dependent interview schedules exist". Templates attached to an Interview schedule can't be deleted due to the data associated with it in Handshake - you'll need to hide the template. We recommend renaming the templates title to include the verbiage "Archived" or "Inactive" to ensure it's no longer used.
