With the addition of Job Based Approvals, different processes in Handshake have changed. Employers will be approved when their job posting is approved by your school, your school can set employer permissions during this process, and more! This article will explain how different parts of Handshake are impacted by the addition of Job Based Approvals.

How have Employer permissions changed?
These have been updated (previously known as “employer roles”). Post Jobs is no longer and explicitly granted permission, instead this will be automatically granted to all future and previously approved employers. The rest of the permissions remain the same: Post Events, Post Interview Schedules, Post Work-Study jobs, Auto- Approve Jobs and Auto-Approve Interview Schedules.
What happens if I select the "Auto-Approve Jobs" permission when approving a job from a new employer?
If the “Auto-approve jobs” permission is selected upon approving a job from a new employer, all of their pre-existing pending jobs will also be approved.
How has the "Post Work-Study jobs" permission changed?
Employers who are not yet approved at a school (new) are able to post a Work-Study job to a school without explicit permission. You can use default employer approval preferences to modify this setting for all new employers. To learn more about this, refer to School Settings: Default Employer Approval Preferences
Once a new employer’s first job is approved, your team can either grant that permission or not for subsequent job posts.
Note: If EDU approves a Work-Study job from a new employer, the “Post Work-Study jobs” employer permission will be automatically selected.
Can employers still request approval at a career fair?
Career Fairs will continue to work as they do today, separate from employer approvals. An employer can request an approval at a career fair even if they are not yet approved at a school. That said, if they are declined at the host school, they will not be able to register for a career fair.
Note: For multi-school fairs, if the employer is not declined at the host school, and the fair is shared with another school that has declined the employer, the employer can still register for and participate in that fair.
How have job & employer declines changed?
Job & Employer Declines work largely the same as they do today. EDU partners can choose to decline individual jobs or specific employers for any reason. They can decline a job or the employer right from the new jobs list.
-
- One change is that if an employer is declined, the comment feed between EDU and the employer will no longer be open.
- Schools can always choose to re-approve a previously declined employer just as they can today.
Has the Job Automatic Approval Configuration changed?
Job Automatic Approval Configuration is a key component of job-based approvals. While it is off by default, we highly recommend schools turn this on in order to help manage job approval volume. When turned on, all jobs will be automatically approved unless they meet one or more of CS defined exception criteria.
-
- One new criteria added with job-based approvals is “Jobs posted by new employers.” If your school is already automatically approving employers, “Jobs posted by new employers” will be disabled by default. If your school isn’t already automatically approving employers, “Jobs posted by new employers” will be enabled by default.
- This allows schools to effectively manage their “employer approvals” right from the new jobs list by filtering on jobs from new employers in the pending queue.
- Note: If multiple jobs from a new employer are in the pending queue, and one of the jobs is approved, the remaining pending jobs will not be re-processed through the Job Automatic Approval Configuration.
For example: If a new employer posts 5 jobs at once, they will all land in your queue for meeting the "jobs from new employers" exception criteria. When you approve one of the jobs (and the employer), the remaining four will remain pending—even if they pass your job approval settings. This is because, at the time of posting, they were from a new employer and, thus, met your job approval settings.
What about my institution's pre-existing pending & in-progress employer approvals?
Pre-existing pending & in-progress employers are now able to post their jobs to a school without that employer approval request being approved. That said, they will not be approved at a school until their first job is approved.
-
- EDU partners can pull a report in analytics of all employers that were pending and in-progress, in case they want to proactively approve them via Find Employers.
Can I still proactively approve employers?
This is still an available option for schools. They can use Find Employers to identify employers and approve employers (even if they do not have a job posted).
-
- EDU partners are also able to continue sending out employer approval links + invite contacts as a way to automatically add and approve employers in their network.
- This workflow is recommended if a new employer wishes to connect with your institution to host an event but doesn’t have a job to post.
Will declining a job from a new employer decline the employer from connecting with my school?
This action will not decline the employer. New employers will be able to post subsequent jobs that schools can choose to approve or decline.
-
- If EDU chooses to decline the employer in addition to the job, the employer will no longer be able to post jobs, events, career fairs or message and search for students at the school.
