On Handshake, you can add events and employer-hosted schedules to an external calendar to gather a holistic view of your availability and quickly access video sessions.
Note: the Add to Calendar feature is only available for future event and session dates- if the start date has passed, this option won't appear.
Employers can add their events and sessions to Google, iCal, Outlook, or via the Handshake calendar link.
Add to Google
*Supported for all events, scheduled sessions and individual time slots.
While you are logged into Handshake, open a separate tab and sign into your Google account. Click on Add to Calendar, then click Google. A new tab will open to display the event or session information in your Google Calendar.
Review the details and click the blue button Save in the upper right corner of the page to save the event.
Add to iCal or Outlook
*Supported for all events, scheduled sessions and individual time slots.
Click Add to Calendar, then click iCal or Outlook. A calendar event (.ics file) will download via your browser.
Click on the download to open the file in your calendar. The calendar will open immediately with a prompt to add the event. Confirm the details, then click the gray button OK to add the event.
Add via Handshake calendar link
Set up a one-way sync with your email client to automatically place scheduled sessions onto your calendar.
*Supported only for all scheduled sessions
Click Add to Calendar, then click Handshake Calendar link. Click the blue button Copy to copy the link provided.
From here, paste the link into the calendar of your choice. (Google cal, example shown below)

Add Event to Calendar
After an event has been created, click the button Add to Calendar in the upper-right corner of the event overview page.
Choose one of the following options: Google calendar, Outlook, iCal, Share calendar event with teammates.
The name of the event in Handshake will correspond with the name of the Google calendar event or downloaded .ics file.
Share calendar event with teammates
To begin, click Share calendar event with teammates from the dropdown menu.
In the popup modal, click in the box for a dropdown list of all active teammates, or begin typing to filter results.
Select the teammate name(s) from the list, then click the blue button Send Invites in the lower-right corner.
Add Scheduled Sessions to Calendar
When adding scheduled sessions from an employer-hosted schedule (Quick Screen, Interview, Office Hours, Availability Calendar) to Google, iCal, or Outlook, you can add all scheduled sessions or individual time slots.
- All scheduled sessions will download a single calendar block for the full schedule time, i.e. 11am – 2pm. The event name will be the name of the schedule in Handshake.
- Adding an individual session will only download a block for the single selected session.
Note: because the events added through Google, iCal, and Outlook are static events, any changes to the events in Handshake will not reflect in your calendar.
Add an individual time slot
To add an individual time slot to your calendar, click on the three dots menu to the far right of each time slot row, then click Add to calendar.
In the popup that appears, select the calendar type you'd like to add the session to.
If a candidate hasn't been added, the event name will read "Company name:Schedule Name".
If a candidate has been added, the event name will read "Company name: Schedule Name with Candidate Name".
Add all scheduled sessions
If you'd like to add all scheduled sessions to your calendar, click on Add to calendar in the upper-right corner of the page.
The "All scheduled sessions" tab will load automatically. Click the desired calendar to proceed.
This will download a single calendar block for the full schedule time, and the event name will be the name of the schedule in Handshake.
Add via Handshake calendar link
If you'd prefer to sync the schedule to your calendar, click Add to calendar in the upper-right corner of the page.
In the popup modal, click Handshake calendar link. Copy the link provided, then navigate to your external calendar service or application and set up a new calendar subscription.
Tip: if your calendar is missing updates made in Handshake to this schedule, check your calendar service or application's sync settings. Your calendar's settings determine the sync frequency.
