Handshake provides an efficient way to add and remove rooms within the schedule, to ensure an interview schedule is assigned the appropriate number of rooms.
Located on the Interviews page, below the column headers, is the Rooms Requested and Rooms Assigned section. Here, you can identify which schedules may still need rooms added and which are overbooked.
Note: if the Rooms Assigned number is greater than the Rooms Requested, the interview schedule is overbooked.
Adding Rooms to an Interview Schedule
Depending on your institution's approval process in Handshake, you may have the option to assign a room to the schedule at that time.
If you did not have the option to assign a room, or if you chose to wait until a later date, you can add a room to an interview schedule by following the outline provided in Building an Interview Schedule in Handshake.
Change an Assigned Room
If you need to update an assigned room on the schedule, follow the steps below on the Interview Details page.
1. Click to check the box to the left of the Room you need to update. This will select all the time slots with that room assignment.
2. Click the blue button Bulk Edit Slots , in the upper-right corner of the schedule table.
3. Click the Assign room... text box within the pop-up to either search a list of unassigned rooms to choose from, or type the name of the room that should be assigned. Click the name of the desired room from the dropdown.
4. Click the blue button Save in the lower-right corner of the pop-up to update!
Once the previous room is removed from the schedule, a message in a grey box will state:
"Some rooms are assigned to this date, but not selected on any slots. Would you like to unassign them? [Learn more link].
[Name of previous room] [Clear Assignment button]"
Click the red button Clear Assignment to ensure that the previous room is not connected to any interview times on the schedule.
A green popup message will appear in the lower-right corner of the page, indicating "Schedule rooms successfully updated."
The Assigned Rooms will be displayed below the interview schedule date on the Interview Details page and will be updated on the Interviews page.
