Job-based approvals combines job and employer approvals into a single step. Employers can now post their jobs to your institution without a pre-existing employer approval—but they will not be approved at your school (granting access to post events, message students, etc.) until their first job is approved.

Note: When approving an employer, you will be utilizing the Pending and In Progress tabs on the Jobs posting page. If you’d like access this information in Analytics, please use the following saved report: Pending & In Progress Employers.
Job Automatic Approval Settings
- Select Jobs from the left navigation bar to be directed to the job postings page.
- To set up your auto-approval settings, click the blue button Auto-Approval Settings on the top right corner of the page.

- The following setting has been added as a way to reflect job-based approvals:
Job is posted by a new employer: Select this to always review the first job a new employer posts. If you do not select this option, the first job a new employer posts will be approved if it meets your auto-approval criteria.
Note: If a new employer’s first job is auto approved, that employer will now be approved at your institution. The default employer preferences that are set in your School Settings will be applied. Note: If there other job postings currently awaiting approval by the new employer, they will either be automatically approved or set to pending according to your Job Automatic Approval criteria. If some or all of those jobs do not meeting the criteria, they will be placed under the Pending tab. The job postings may take a moment to appear under the Pending tab again, as our system will be processing them following approval of the new employer. When you click on the employer, the side sheet will provide the following message:
Any pending jobs from this employer are being reprocessed against your job auto-approval rules. They will be removed from the pending list, and jobs with remaining approval exceptions will reappear.
Accessing pending job posting approval requests and job postings from New employers
1. Select Jobs from the left navigation bar to be directed to the job postings page.
2. Select the In Progress or Pending tab to access jobs that might be awaiting approval from New Employers. If a New Employer has posted the job, the word “New” will preface their name in the Employer Column. There may be multiple jobs from one New Employer in this list.
Alternatively: You can use the New Employers filter to narrow the list to only include New Employers.
From here, you can either approve or decline the job from the side sheet or on the Job postings page.
Approving a job posting from a New employer (Approving an employer)
- (Recommended workflow) From the Pending or In Progress tab, click on the job posting to open the side sheet with the job details. Select the blue button Approve to proceed.
- This will open the side sheet for Employer Permissions. These permissions will be applied after approving the job, as the employer will be approved at the same time. The default permissions that your school has set up in your School Settings will be selected automatically. You can make modifications to the permissions for this employer here, or on the Employer’s page in Handshake.
The permissions include:
- Posting permissions:
- Post Interview Schedules
- Post Work Study Jobs
- Post Events
- Auto approvals
- Auto-approve all jobs from this employer
- Auto-approve all interview schedules from this employer
- Assign employer
Note: Post Jobs cannot be toggled off and will be applied to all approved employers automatically.

Once you’ve selected the permissions you would prefer for this employer, you can click the blue button Apply permissions to save you choices.
After you’ve applied permissions, the following message will appear “Job and employer approved”
Declining an employer
When you decline an employer, you'll be prompted to submit a reason for the decline. This prompt improves the process by:
- capturing moral, ethical, and state-specific legal decline reasons
- enabling our flagging system to be more efficiently reviewed by focusing on fraud and abuse
- providing sufficient information for employers to correct any errors in order to be reconsidered for approval
- helping us at Handshake better understand what's important to you
- generating a tag for the employer
The decline reason chosen will be added as a comment to the company profile, which is viewable to the employer user(s) connected to that company, as well as other staff members at your institution.
- Go to the Pending, In Progress, or Approved tab.
- Search for the job posting from the Employer you would like to decline. On the right side of the job posting column, select the ellipsis, and choose Decline employer.
- A pop up box will appear with employer decline reasons:

Employer industry does not align with our school policy (dropdown menu, choose one):
- Adult entertainment industry
- Alcohol or Tobacco
- Cannabis
- Firearms
- Gambling
- Multi-level marketing
- Third party recruiter or staffing firm

Ideological objection to industry (please explain)
- Comment required
- Not compliant with state labor laws (dropdown menu, select your state)
- Employer requires up-front costs

Other (please explain below)
- Comment required
After choosing a decline reason, select your choices:
- Please tell us more about your decision (text box for required comments or additional information you'd like to share)

Share my name with employer (Yes / No)
- If you select this option, your name will be displayed with the comment.
To save, click the red button Decline Employer in the lower-right corner of the popup.
- A message will appear confirming the employer decline. Any pending or approved jobs from this employer will be declined. Jobs from this employer will be removed from the job list pages.
Employer request outcome notifications
Employer users are automatically sent a notification of the outcome in Handshake and via email. For examples from the employer perspective, refer to Declined by a School.
If an employer chooses to followup via comment, you'll receive a notification of the comment in Handshake and via email.

If you aren't receiving notifications as expected, double-check your notification preferences for Employers > "Someone comments on an employer approval".
On the company profile in Handshake, you can review the comment and choose to respond. If you respond to the comment, note that your name will be included with your comment.
