This article acts as a quick guide through the process of creating a 1:1 chat schedule for a career fair, enabling students to book 1:1s with employers.
Click on the expandable headers below and follow the outlined steps to set up your 1:1 schedule.
Navigate to the Fair page, then click the grey Schedule tab in the upper-centre. From the Schedule modal, click the black button Setup in the 1:1 sessions section (denoted by a purple box).
Click the checkboxes to the left of each team member name to select colleagues to represent your company at the fair. Multiple colleagues can be selected.
Invited colleagues will receive an email notification inviting them to manage their own schedule. To be eligible, any team member must have previously activated their Handshake account. If a colleague is not selectable, you can still add them later after their account is activated.
Click the blue text + Add 1:1 session to the right of each team member's name and role to add their session schedules.
When adding 1:1 sessions, use the dropdown box to set a session duration and use the radio buttons to specify whether student qualification requirements are needed. Refer to step 4 for more on this process.
If selecting this option, only students that meet your qualification requirements will be able to access and sign up to your 1:1 session. These requirements allow you to be more selective of who you wish to talk to during your 1:1s.
Use the Graduation date range dropdown boxes and/or the School years/levels of study checkboxes to define your requirements.
You can also optionally assign a specific label to qualified students. Only students with this label will be able to book a 1:1 session with you. You can either create a new label or choose an existing one.

When you’re finished, click the blue button Add and schedule sessions to complete this step.
Additional info on qualifications
- Qualifications can be changed up right up until the fair starts. After the fair begins, the only available option is to clear all qualifications.
- By selecting qualifications, you limit student sign-ups to only those who meet the defined criteria. Students who do not meet the selected qualifications will be unable to sign up for your 1:1 sessions. We recommend that you regularly check your schedule up to the start of the fair and either label more students or adjust/remove requirements to ensure that you have a full schedule on the day of the fair.
- When a label is added to 1:1 qualifications, only students with the defined label are able to register for the 1:1 sessions.
When you’re finished assigning 1:1 session schedules to each recruiter attending the fair, click the blue button Assign Team to proceed.
Check over your 1:1 session details, and then click the blue button Confirm schedule and invite team to generate the email for team members to claim their schedules:
Once the schedule is created, you will be redirected back to the Schedule tab:
Invited recruiters will receive an email notification to review and claim their schedule:
After clicking on the link in the email, team members will be taken to the planning tab of the Fair, where a pop-up modal will allow them to Claim their schedule by clicking the blue button Claim schedule.
If they have not received the email, recruiters can alternatively log into Handshake, click through to Fairs via the navigation bar and search for the career fair manually to claim their schedule.
IMPORTANT: Students will not be able to register for sessions held by invited recruiters until the recruiters have accepted their schedule!
