Handshake provides multiple options for approving new teammates to join your company profile.
Options by account type
The options available to you depend on your company's account type:
Basic employers
Basic employers cannot manually approve teammates unless the teammate’s email address does not match your company’s verified domain.
Approval behavior depends on the type of email domain:
-
Verified company domain (e.g., @yourcompany.com)
Users signing up with a verified domain are automatically approved and connected to your company profile.
-
The owner will receive an in-app notification:
“A new teammate has joined the company.”
You can update this in your Default Notification Preferences (Employers).
-
Shared domains
If a user joins the wrong company (e.g., due to a shared domain across multiple organizations), you can report the user to our Support team.
-
Generic or unverified domains (e.g., @gmail.com, @outlook.com)
- Auto-approval does not apply.
- The owner must manually approve teammate requests.
On-campus employers and Premium partners
These accounts have full control over teammate approvals. You can:
Manually approve teammate requests
Enable auto-approval for teammates using your company’s verified domain
To set up auto-approval, refer to How to Auto Approve Staff Members.
Manually approve teammates
1. Click on the user icon in the white toolbar at the top of the page, slightly to the left of your name.
Note: This is an action that can only be performed by the Owner or Admin of the company profile.
2. A list of teammates awaiting approval to join the company profile will be displayed.
3. Click the three hash marks to the far right of the name of the teammate you want to approve, then select View Request.
- If the teammate's email domain does not match your company's domain, the error message "PLEASE NOTE: We could not verify that this user's email domain matches this company. Please do your due diligence in confirming this user actually belongs at this company and is not a fraudulent user before approving. You should not approve this person unless you are sure they legitimately work for this company." will display in a red banner at the top of the page.
4. Click the green button Approve to approve and complete the request.
5. Upon approval, the user will automatically receive an email notification. However, if the user's request is rejected, they will not receive a notification.
- If you accidentally reject someone who needs to be approved, refer to How to Manually Add Teammates to your Company's Profile.
