Message templates let you save reusable outreach messages so your team can send consistent communication to candidates without rewriting the same content each time.
Templates can include your own writing, candidate variables, and AI personalization.

Access templates
Click on your name in the upper-right corner of the page, then select Templates from the dropdown.
The Template management page displays templates created by you and your teammates. Select a template from the list to review its subject and message.
Search and filter templates
Use the search field and filters at the top of the Template management page to locate a template:
- Search templates: Search by template name.
- Created by: Display templates created by anyone or only templates created by you.
- Status: Display active or archived templates.
- Sort: Sort templates by newest, oldest, last updated, or alphabetical order.
Create a template
1. From the Template management page, click Create in the upper-right corner.
2. In the New template window, enter the following information:
- Template name: Enter a name with no more than 50 characters.
- Subject line: Enter an optional subject line with no more than 255 characters.
- Message: Enter the content of your message.
3. To insert a variable or AI personalization, type / in the message field, then select one of the following options:
- First name
- School
- Major
-
AI personalization
- Enter instructions describing the candidate-specific content Handshake should generate.
4. Combine your own writing, variables, and AI personalization within the same template as needed.
5. Click Save
Edit template
1. From the Template management page, select the template you want to update.
2. Click the pencil icon in the upper-right corner of the template details.
3. Update the template name, subject line, or message.
4. Click Save.
Duplicate template
1. From the Template management page, select the template you want to duplicate.
2. Click the duplicate icon, shown as two overlapping squares, in the upper-right corner of the template details.
3. The New template window opens with the original content pre-filled, and the name prefixed with [Copy].
4. Update the template name, subject line, or message as needed.
5. Click Save
Archive template
Templates cannot be permanently deleted, but they can be archived.
1. From the Template management page, select the template you want to archive.
2. Click the bin icon in the upper-right corner of the template details.
Note: Company profile owners and administrators can also archive templates created by teammates.
Restore an archived template
1. From the Status filter, select Archived.
2. Select the template you want to restore.
3. Click Restore.
The template becomes active and is available for use again.
